UBYS Orientation Training Provided for Newly Appointed Department Heads and Academic Staff.

Bartın University Bartın Vocational School organized a comprehensive University Information Management System (UBYS) orientation training for newly appointed department heads and academic staff in order to ensure that academic and administrative processes are carried out more efficiently and effectively. The training, held on May 13, 2026, at 09:30, focused on the practical use of processes conducted through the UBYS system.

Within the scope of the training, participants were informed about the following topics, which constitute the core components of the university’s digital workflow:

  • Official Correspondence Rules and General UBYS Information: General functioning of the system and important considerations in official correspondence.
  • Document Management and Production: Processes related to writing official documents through the system, generating documents, deriving documents, and integrating external documents into the system.
  • Use of Academic and Administrative Tabs: Functions of faculty member and personal administrative staff tabs.
  • Educational Planning and Curriculum: Technical details regarding the Bologna Process, departmental decisions, and commission board procedures.
  • Financial Processes: Important points regarding additional course payment entries and tracking procedures.


Supported by visual materials and conducted in an interactive environment, the training concluded with the participants’ questions being answered. It was emphasized that such orientation programs are critically important for helping newly appointed personnel quickly adapt to the institutional culture and digital management systems, as well as for increasing institutional efficiency.
